How Fair Play Americas handles information when you visit, contact, participate, or donate.

Our commitment

Your trust deserves fair play.

Fair Play Americas, Inc. (“Fair Play Americas,” “we,” “us,” or “our”) respects your privacy. This policy explains what information may be handled when you use fairplayamericas.org, contact us, take part in our programs, sign up for updates or activities, or make a donation.

This policy applies to the Fair Play Americas website and our direct interactions with you. It does not govern independent websites or services that we link to.

01 Information we collect

Information you choose to provide

If you email us or use our Get Involved form, we may receive information such as your name, email address, organization, country or region, area of interest, and the contents of your message. Award nominations are submitted directly to the International Fair Play Committee (CIFP) using its website or official nomination email.

Please do not send sensitive personal information unless it is necessary and we have specifically requested it.

Technical information

Like most websites, our web host and security services may automatically process limited technical records when a page is requested. These records can include an IP address, browser or device type, requested page, date and time, referring page, and basic error or security information. We use this information only to deliver, protect, troubleshoot, and maintain the website.

02 Cookies and analytics

Optional analytics remain off unless you allow them.

When Google Analytics 4 is enabled on this site, it loads only after you select “Allow analytics.” Declining does not affect your access to the website.

With permission, we use Google Analytics 4 to understand information such as pages viewed, approximate region, device and browser characteristics, referral source, and whether a Get Involved form was successfully submitted. After a successful submission, we send an event named generate_lead. We do not send the form’s name, email address, message, or other entered content to Google Analytics.

We configure analytics without Google Signals, personalized advertising, or advertising-storage permission. Google may place or read analytics cookies and process technical identifiers under its own terms. Learn more in Google’s Privacy Policy.

Your choice is saved in your browser’s local storage. You can revisit it using “Analytics choices” in the footer whenever analytics is available. The awards search runs entirely in your browser; we do not receive the names or terms you enter. Our hosting and security providers may still process strictly necessary technical data to deliver and protect the site.

03 How we use information

We may use information to:

  • respond to questions, nominations, partnership inquiries, and requests;
  • provide updates, event information, or program communications you requested;
  • administer participation, volunteering, recognition, and educational activities;
  • process and acknowledge donations;
  • operate, secure, improve, and troubleshoot the website; and
  • comply with legal, accounting, reporting, and nonprofit obligations.

04 How we share information

We do not sell or rent personal information. We may share only what is reasonably necessary with trusted service providers that support functions such as website hosting, email, event administration, data security, or donation processing. Those providers process information under their own terms and privacy notices or on our behalf.

We may also disclose information when required by law, to protect rights or safety, to investigate misuse, or in connection with a legitimate organizational transition. We do not share contact information with third parties for their independent marketing.

05 Donations

If online donations become available, they will be processed by a secure third-party payment provider. The provider may collect your name, contact details, payment information, donation amount, and related transaction data. Fair Play Americas may receive donor and transaction details needed to acknowledge the gift, maintain records, and meet legal obligations, but we will not receive or store your complete payment-card number.

The payment provider’s privacy policy will apply to its processing and will be available before you complete a donation. Contributions may also be made anonymously where the donation method allows it, although we may still need to retain records required by law.

06 Retention and security

We retain personal information only for as long as reasonably needed for the purposes described here, including responding to you, managing participation, keeping required nonprofit or financial records, resolving disputes, and protecting the organization. Retention periods vary with the type of information and our legal obligations.

We use reasonable administrative and technical safeguards appropriate to the information we handle. No internet transmission or storage system can be guaranteed completely secure.

07 Your choices and rights

You may ask us to access, correct, or delete personal information you have provided, or to stop sending optional communications. Depending on where you live, you may have additional privacy rights. We will respond to verified requests as required by applicable law, subject to lawful exceptions and recordkeeping requirements.

08 Children’s privacy

Our mission includes supporting young people, but this website is intended for a general audience and is not designed to knowingly collect personal information directly from children under 13. A parent, guardian, school, or program leader should contact us on a child’s behalf when appropriate. If you believe a child has provided personal information through the website without appropriate permission, please contact us so we can review and delete it where required.

10 Changes and contact

We may update this policy as our website, programs, or legal obligations change. The effective date at the top of this page will show when the current version took effect. Material changes will be highlighted here or through another appropriate notice.
